This policy explains what information we collect, why we collect it, how we use it, and the choices families have.
1. Who we are
Young People’s Art (“YPA,” “we,” “us”) is a small online gallery based in midtown Toronto, Ontario, Canada. Young artists can publish original artwork in a moderated, family-friendly space.

2. Who this policy covers
- Parents or guardians who create an account for an artist under 16
- Artists 16 or older who create their own account
- People who only browse the public gallery
- People who email us
If you are under 16, a parent or guardian must create and manage the account. We do not knowingly let a child under 16 open an account alone.
3. Information we collect
Account information
- Email address and password (stored hashed, not as plain text)
- Name of the account holder (parent/guardian, or the artist if 16+)
- Artist profile: first name or chosen artist name, optional age, province
- For parent accounts: the linked artist profiles they add
We do not ask for a child’s last name, home address, school name, phone number, or social handles for public display. Those details must not appear on artwork pages.
Artwork
- Photos or files of the work
- Title, medium, size, and optional short description
- Internal notes from our review before a piece goes live
Messages
- Whatever you send to team@youngpeoplesart.org, plus the address you use
Technical logs
- Standard host logs (IP address, browser, pages, date/time) to run and secure the site. We do not sell this.
4. How we use information
Only to:
- Create and manage accounts and profiles
- Accept, review, publish, update, or remove artwork
- Show approved work in the public gallery
- Show approved work on YPA social media only if the account holder gave that permission (they can withdraw it)
- Contact the account holder about their account, a submission, safety, or a request they made
- Enforce the Gallery Guidelines
- Protect the site from abuse
- Meet a legal obligation if we must
We do not sell personal information.
We do not use children’s information for advertising.
We do not rent or trade contact lists.
5. What the public can see
We aim to show only:
- The artwork, title, medium, and size
- First name or chosen artist name
- Optional age and province, if provided
We do not publish last names, emails, addresses, phones, school names, or social handles. We may remove a post that includes them.
Artwork stays the property of the artist. Submitting work gives YPA permission to display it on the website and, unless the account holder opts out, on YPA social media. That permission can be withdrawn anytime by emailing us.
6. Children, consent, and parent control
- Under 16: parent/guardian creates the account, adds the profile, and submits work
- 16+: the artist may manage their own account
- Every submission is reviewed before it is public
- The account holder can ask us to change or remove work at any time
- We do not require a child to give more personal information than is needed to show their art safely
If we learn an under-16 account was opened without a parent or guardian, we will close it and take down related public posts.
7. Who we share information with
Only when needed:
- Hosting, file storage, and email providers, so they can run those services
- A parent asking about their own child’s profile
- Authorities if the law requires it, or if we believe in good faith we must act to protect someone’s safety
We do not give artist contact details to other users, schools, or the public.
8. Where information is stored
YPA is based in Ontario, Canada. We use Hostinger for website hosting, file storage, and email. Hostinger may store that data in the United States, Europe, or another country. Data stored outside Canada may be subject to that country’s laws.
9. How long we keep information
- Account and artwork data while the account is open and the work is published
- Public work comes down as soon as reasonably possible after a removal request
- After an account closes, we delete or anonymize personal details within a reasonable time, unless a limited record is required by law or a dispute
- Server logs only as long as needed for security and operations
Backups may exist briefly after deletion. Deleted work is not put back on the public site.
10. Your choices and rights
Under Canadian privacy law (including PIPEDA where it applies), an account holder can:
- Ask what personal information we hold about their account
- Ask us to correct it
- Ask us to remove artwork or close the account
- Withdraw social-media display permission
- Ask how we handle information
Email team@youngpeoplesart.org. A parent or guardian should write for an artist under 16. We will respond in a reasonable time.

11. Emails
We send email needed to run the service (account, submissions, safety, replies). We will not send promotional email without consent. Any promotional email will include an unsubscribe option (CASL).
12. Security
We use reasonable measures, including hashed passwords and review before publication. No site is perfectly secure. Use a unique password and tell us if you think an account was used without permission.
13. Links and social media
Third-party sites (including Instagram) have their own policies. This policy applies only to youngpeoplesart.org.
14. Changes
If we change how we handle personal information in a meaningful way, we will update this page and the effective date. For a significant change, we will note it on the site or email account holders when practical.
